Live Laser Engraving for DFW Corporate Events: Cost and Setup

Live laser engraving at a Dallas-Fort Worth corporate event costs $275 per hour, with a 2-hour minimum. Guests choose an item, we engrave their name or a logo while they watch, and they leave with something they will actually keep. This guide covers what it costs, how many people it serves, and what a planner needs to know before booking.
What live engraving is
A laser artist sets up a station at your event and personalizes items on the spot. Each engraving takes about 90 seconds. Guests see their name appear on the item in front of them, which is why the station pulls a crowd without any promotion.
We are a mobile studio based in Princeton, TX, and we serve the whole Dallas-Fort Worth area: Dallas, Addison, Plano, Frisco, Legacy West, McKinney and Fort Worth. Nobody visits a studio. We come to you.
What it costs
Pricing is simple, and it is built on time, not on a per-item fee.
| Item | Detail |
|---|---|
| Hourly rate | $275 per hour |
| Standard minimum | 2 hours |
| 50 to 100 guests | 3-hour minimum |
| Travel outside Collin County | $150 |
| Deposit | 50% to hold the date |
| Balance | 50% due on the day of the event |
A 2-hour event costs $550 before travel. A 3-hour event costs $825. The items guests choose from are agreed with you ahead of time, so there are no surprises on the day.
How many guests you can serve
We engrave 15 to 25 guests per hour. That number comes from the 90-second engraving time plus the moments it takes a guest to step up and pick an item.
| Guests | Suggested time | Why |
|---|---|---|
| Up to 40 | 2 hours | Covers everyone with room for repeat visits |
| 50 to 100 | 3 hours | Required minimum at this size |
| 100+ | Talk to us | We plan staffing and time with you |
If your guest list is larger than the station can cover, we plan around it. Some hosts engrave for a VIP group, some run the station through cocktail hour, and some set a ticket system so the line stays short.
Why it works better than a swag table
Printed swag gets picked up and left behind. Engraved items carry a guest's own name, so they go home in a bag and onto a desk. The activity is also the entertainment: guests talk about it, film it and tell others at the event.
You also control the brand. A logo can be engraved on the item along with the guest's name, with a maximum design size of 5 by 5 inches. We work with more than 300 materials, so the item can match your event and your budget.
What to plan before the day
Planners usually need to settle five things.
- Guest count and the hours you want the station running.
- The items guests will choose from, and any logo that goes on them.
- The venue footprint and where the station sits near guest traffic.
- Whether names are English or another language. We engrave Arabic, Japanese, Chinese and Spanish. Other languages are a special request with the laser artist.
- Your arrival and load-in window.
The more of this you send before the day, the smoother it runs.
How booking works
Booking follows the same steps every time.
- You send an inquiry with your date, venue and guest count.
- We confirm details and price with you directly.
- You receive an invoice and a service agreement.
- You sign and pay the 50% deposit to hold the date.
- The remaining 50% is due on the day of the event.
The fastest start is the Events tab in our app. You enter guests and hours, see a live price and send the request from the same page.
Where it fits best
Live engraving suits corporate mixers, product launches, client appreciation events, holiday parties, trade show booths and hotel lounge events. It is a strong replacement for the coffee cart or the swag table when you want guests to take part in something, not just walk past it. For more ideas, see our guide to other articles on event ideas.
If you want a smaller version for gifts, the My Item tab lets you preview your own item before we engrave it.
Questions planners ask first
Can the station run in a hotel ballroom or lounge? Yes. It is a mobile setup built for indoor venues, and we confirm the footprint and placement with you before the day.
Can we engrave our logo and each guest's name together? Yes, within the 5 by 5 inch maximum design size.
What if we are unsure how many guests will stop by? Give us your attendee count and the hours of the event. We recommend the hours that make sense, and the 2-hour minimum keeps the plan simple.
A sample two-hour run of show
A good engraving activation has a rhythm. Here is how a typical two-hour station plays out for a mixer of about 40 guests.
| Time | What happens |
|---|---|
| Before doors | Station is set up, items are laid out, the logo is loaded and tested |
| First 20 minutes | Early arrivals try it first and the line builds naturally |
| Middle hour | Steady flow at 15 to 25 guests per hour, with the laser artist engraving each item in about 90 seconds |
| Final 40 minutes | Latecomers, repeat visits and any items set aside for absent guests |
The first few engravings do the marketing for you. Once guests see a colleague holding a finished piece, the question changes from "what is that?" to "can I get one?"
Tips that keep the line moving
Small decisions make a big difference to throughput.
- Collect names ahead of time when you can. A spreadsheet of names lets the artist queue designs before guests arrive.
- Keep the item choices to a short list. Three to five options beat twenty.
- Place the station near the flow of the room, not in a corner. Guests who see it will join it.
- Tell your event team where the station is, so they can send guests over.
- Decide what happens to guests who arrive after the hours end, and tell them early.
How it compares to other activations
| Option | What guests get | What guests do |
|---|---|---|
| Coffee cart | A drink they finish in minutes | Stand in line |
| Printed swag table | A generic item | Pick one up and walk away |
| Live engraving | An item with their name on it | Watch it made and take it home |
The difference is time. A drink is gone in ten minutes and a pen with a logo is forgotten in a week. A personalized piece sits on a desk, and the brand on it stays visible.
